Using Quick Parts in Outlook

Quick Parts is a great tool for inserting text that you use time and time again., This could be directions to your office, your mailing address or contact information, confirmation to a registration or meeting response. There are many uses for Quick Parts and once you learn to use it in Outlook, you can use Quick Parts in all other Microsoft applications.

To create pre-typed email responses such as directions to your building, services that you offer, etc., Follow these steps::

  1.  Create a new message in your inbox by clicking the New and Message on Home tab of the ribbon.
  2.  In the body of the email, type the text exactly as you would like to save it,
  3.  Select all of your content by highlighting it.
  4.  Click the Insert tab on the Ribbon.
  5.  On the Ribbon in the Text group select Save Selections to Quick Parts Gallery.
  6.  Give your text a descriptive name and Click OK.                                                 

To use the saved text,

  1.   Create a new message in your inbox by clicking the New and Message on Home tab of the ribbon.
  2.   Locate the cursor where you want the text to appear.
  3.   Click the Insert tab, 
  4.   Click Quick Parts and select the text.



The text will appear in the body of your email.
